If members are aware that a new web site is being developed, the launch will be anticipated and more successful.

 

Informing members that the new web site will become the primary communication tool for your organization will help it to be treated as something significant. It is also important however to dispel any fears of those without internet access, by stating the web site won't replace the normal routes of communication already in place but will be a significant addition.

It is also important to inform members that their contact details will be stored on the system.

 

Communication to your membership would best be done at this stage through a mailing. The Endis mailing feature would be ideal for this purpose once your database of membership has been added.

 

The contents of the mailing could be as follows:

"We are writing to inform you that we will soon be launching a new web site, and some of the benefits it will bring.

"The new web site will contain features such as an Address Book, Calendar, Discussion Forums, Rota reminders, Audio and Video uploads and many other features (see http://www.ChurchInsight.com/Product for more information).

"The web site will become a major communication tool for the organization. It won't however replace the existing lines of communication but will support them and enable new ways of communicating possible through the Internet.

"As already mentioned the site will contain an Address Book; this is a searchable directory of church members' contact details. Each member can update their own details so the Address Book will become more accurate than existing printed contact information. It will also make it easier for you to access other members' contact details; printable versions can be generated through the web site so you can also have an accurate hard copy. The Address Book can only be accessed by those that have been given permission; however if you aren't happy for your contact details to be available to the community, then you can hide them through your Privacy Settings on the web site. If you require your contact details to be hidden before the launch of the site, please contact the office and we will remove them for you.

"We are very excited about the new web site and how it will help our communication."
